Privacy Policy

Last updated: May 2026. This policy explains how My.Win Pte. Ltd. ("My.Win", "we", "us") collects, uses, and protects your personal data when you use the My.Win platform and services.

1. Who We Are

My.Win Pte. Ltd. operates the My.Win platform, available at mywin.cloud and via the My.Win mobile application. We are the data controller responsible for your personal data processed through our services.

2. What We Collect

Account and identity information

  • Name, email address, job title, and designation
  • Organisation name, country, and contact number
  • Profile photograph (optional)
  • User role within the platform (OEM, Food Manufacturer, Reseller, Vendor, or Individual)

Usage and activity information

  • Log-in activity and feature interactions
  • Equipment scans via the My.Win app
  • Maintenance checklist submissions and health ratings
  • Support requests, chat messages, and attached files
  • Spare-part RFQ requests
  • Questions submitted to myExpert AI for a specific equipment

Device and technical information

  • Device type, operating system, and app version
  • IP address (used for security purposes)
  • Push notification tokens (Firebase Cloud Messaging)
  • Crash and error logs

Content you upload

  • Equipment documents such as manuals, drawings, and certificates uploaded by OEM users
  • Photos and videos attached to support requests or checklists
  • Spare-part images and process-line layouts

We do not collect payment card data directly. Any payment processing is handled by a third-party provider.

3. How We Use It

We use the information we collect to:

  • Create and manage your account and authenticate your sessions
  • Deliver the platform features: equipment management, maintenance tracking, support, spare-part RFQs, and AI assistance
  • Send notifications about support requests, maintenance events, and account activity via email and push notification
  • Power myExpert AI responses for equipment where documents have been uploaded
  • Enable offline access for Food Manufacturer users who opt in to offline caching
  • Improve the platform using aggregated, anonymised analytics
  • Meet our legal obligations and protect our legitimate interests

We do not sell your personal data to third parties. We do not use your data for advertising.

4. Third-Party Services

We use the following services to operate the platform. Each processes data on our behalf under their own terms:

  • Microsoft Azure — cloud infrastructure and file storage (Azure Blob Storage). Your uploaded files are stored on Azure servers.
  • OpenAI — powers myExpert AI. Equipment documents and questions you submit to myExpert are sent to OpenAI's API to generate responses. This data is handled according to OpenAI's Privacy Policy.
  • Firebase (Google) — push notifications and crash reporting. Your device token and device identifiers are shared with Google for notification delivery.
  • Azure Communication Services and Amazon SES — used to deliver transactional emails such as account notifications and support updates.

We only share your data with third parties to the extent needed to deliver the Services, and never for their own commercial purposes.

5. How Long We Keep It

We keep your personal data for as long as your account is active or as needed to provide the Services. When you close your account, we will delete your personal data within a reasonable period, except where we are required to retain it by law.

Equipment documents are kept until the OEM deletes them or the account is closed. Support request history is retained for service and audit purposes. Server logs are retained for security monitoring.

You may request deletion of your data at any time (see Your Rights below).

6. Security

We take security seriously. Our measures include:

  • JWT-based authentication with short-lived access tokens and session tracking
  • HTTPS encryption for all data in transit
  • Access controls on Azure Blob Storage for files at rest
  • Role-based permissions limiting what each user can see within the platform
  • Push notifications tied to authenticated device tokens

No system is entirely secure. If you believe your account has been compromised, contact us immediately at consult@mywin.cloud.

7. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Delete your personal data, subject to any legal retention requirements
  • Export your data in a machine-readable format
  • Object to certain types of processing
  • Withdraw consent where processing is based on consent

To exercise any of these rights, email us at consult@mywin.cloud. We will respond within 30 days. We may need to verify your identity before acting on a request.

8. Cookies

Our website at mywin.cloud uses cookies to operate correctly and to understand how visitors use the site. Strictly necessary cookies are always active. We may use analytics cookies to improve the site experience.

The My.Win mobile application uses Firebase for push notifications and crash reporting. The app does not use browser-based cookies.

9. Children

My.Win is a business platform intended for use by professionals. It is not directed at anyone under the age of 16. We do not knowingly collect personal data from children. If you believe a child has provided us with data, please contact us and we will delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. For material changes, we will notify registered users by email or in-app notification at least 14 days before the change takes effect. The date at the top of this page shows when it was last updated.
